Hotel Room-Service Billing

The operational system a hotel uses to capture in-room food and beverage orders, route them to the kitchen as KOTs, hold them against a per-room tab, and produce a GST-compliant itemised bill on checkout. It's distinct from restaurant billing, and almost never included in hotel management software.

What makes room-service billing different

At a restaurant, the order and the bill happen at roughly the same time — the guest sits, orders, eats, pays, leaves. At a hotel, the order and the bill are separated by hours or days. A guest may order eight times over a three-night stay, and the bill is either paid at each order or settled once at checkout.

This means room-service billing needs three things restaurant billing doesn't:

  • Persistent per-room tabs that accumulate over the length of the stay.
  • Order timestamps preserved on the bill so a guest disputing a charge from Tuesday can see when it was placed.
  • Charge-to-room option that adds the amount to the folio without settling in cash.

Why hotel PMS rarely handles it

Hotel management systems (Menson, IDS, eZee, RezNext, Hotelogix) are architecturally organised around the reservation. Rooms, rates, guests, folios, night audit — that's the primary object model. F&B is treated as a "posting" that arrives from an external POS. The PMS assumes someone else's software is running the kitchen; if you don't have that software, the room-service order simply doesn't get captured.

The five components of a working setup

  1. A menu database with items, prices and tax rates.
  2. An 80mm thermal printer, physically located next to the kitchen.
  3. Per-room open tabs that open at check-in and close at settlement.
  4. A fast order flow — item search, quantity, room number, done in under 60 seconds.
  5. A printable GST-compliant bill with room number, timestamp, itemised list and tax breakup.

Room-service vs restaurant billing on the same premises

Larger hotels run a restaurant on the ground floor and room service to rooms upstairs. Both need billing, but the flows are different — a restaurant guest walks in, sits, orders, pays and leaves; a room-service guest is already registered as a hotel guest, is charged against an existing folio, and never comes to a counter. Trying to run both flows in a single tool designed for one or the other creates friction on both sides.
