Buyer's Guide · Updated September 2026

Hotel management software in India: how to actually choose.

We build two products in this space, so read accordingly. What follows is still the guide we'd have wanted as buyers — including the section explaining when you shouldn't buy a PMS at all.

Short answer

It depends on size and distribution. Above roughly 100 rooms, or if your occupancy depends on Booking.com and MakeMyTrip inventory staying in sync, buy an established PMS with certified channel-manager connections. That capability is hard-won and worth paying for.

For boutique and mid-range properties of roughly 5–100 rooms, a lighter offline-first system usually fits better and costs a fraction as much.

Verify four things before signing: does check-in and billing work without internet, is C-Form genuinely built in rather than promised, is pricing per-room or flat, and can you export your guest data yourself.

The Indian hotel software market splits awkwardly. At one end sit enterprise property management systems priced and designed for chains. At the other, a great many properties still run the front desk on a register, a spreadsheet and a WhatsApp group. The 20-to-60-room property in between is chronically underserved — usually sold something built for a 200-room hotel and then charged per room for the privilege.

Per-room pricing punishes you for growing.

This is the single biggest cost variable in Indian hotel software, and it's the one most buyers don't normalise before comparing quotes.

ModelTypical India pricing20-room property50-room property
Per room, per month₹50 – ₹200 / room / month₹24,000 – ₹48,000 / yr₹60,000 – ₹1,20,000 / yr
Flat annual licence₹10,000 – ₹25,000 / property / yrSame regardless of roomsSame regardless of rooms
Enterprise quote₹50,000+ / yr, negotiatedOverkill at this sizeSometimes justified

The figures above are indicative market ranges, not quotes from named vendors — get your own in writing. The point is the shape: under per-room pricing, adding ten rooms adds cost forever, and a good year raises your software bill.

Convert every quote to an annual per-property number before comparing. Vendors quote in the unit that flatters them — per room per month sounds small, and ₹100 per room per month is ₹60,000 a year at 50 rooms.

Three requirements generic PMS software misses.

International hotel software often handles the front desk beautifully and then falls down on compliance that isn't optional in India.

01

C-Form / FRRO

If you host foreign guests you must report them to the FRRO. Proper support means the form auto-populates from check-in, carries the guest photo, attaches passport and visa scans, and exports as CSV. Ask to see it — it's frequently absent or manual. More on C-Form.

02

Tariff-banded GST

Room GST is banded — generally 12% up to ₹7,500/night and 18% above. And a restaurant inside a hotel with any room at ₹7,500+ attracts 18% on food, not the 5% a standalone restaurant pays. Software should let you configure the bands, not hard-code one rate.

03

GSTR-1 and Tally export

Your accountant works in Tally. Software that can't export to it creates a monthly re-keying job that someone will eventually do badly. Ask for GSTR-1 and Tally XML export specifically, not "reports available".

You may not need a PMS at all.

This is the advice that costs us sales, so it's worth stating clearly.

If you already run software that handles bookings, room allocation and the front desk — Menson, eZee, IDS, Hotelogix, anything working — and your only real gap is capturing in-room food and beverage orders, then you don't need a second full PMS. You need a room-service billing layer that sits alongside what you have.

Replacing a functioning property management system to fix an F&B gap is an expensive way to solve a narrow problem, and it puts your entire front desk through a migration to fix something at the edges. That's the case Folio exists for, at ₹6,500 a year.

If you have no system at all, or the front desk runs on a register and a spreadsheet, then a full PMS is the right purchase and you should make it properly.

What Slate is, and what it isn't.

Stated plainly, so you can rule us out fast if we're wrong for your property.

Slate is a good fit if

  • You run roughly 5 to 100 rooms and want one system for the whole front desk.
  • You want flat pricing — ₹12,000 per property per year — rather than a per-room bill that grows with the property.
  • You need C-Form, tariff-banded GST, GSTR-1 and Tally export as built-in features rather than promises.
  • Your connection is unreliable and the front desk cannot stop working when it drops.
  • You want staff on phones and tablets at no per-device charge — housekeeping updating room status from the floor, not a clipboard.

Slate is the wrong choice if

  • You need live OTA channel management today. Slate's channel manager is built for Booking.com, MakeMyTrip, Goibibo, Agoda and Expedia, but it's in testing and partnership approval — not switched on. If your occupancy depends on inventory sync, buy a PMS that has it working now.
  • You're above roughly 100 rooms. Beyond that the integration and process requirements usually justify enterprise software, and we'd want a conversation before selling you anything.
  • You want a cloud PMS you can run from anywhere. Slate runs on the front-desk machine and serves your property's own network. The owner dashboard for remote visibility is built but not yet deployed.
  • You're on macOS. Slate ships for Windows and Linux, with an Android companion app.

What it costs

₹12,000 per property per year, flat. Not per room, not per device, not per terminal. C-Form, payroll, GSTR-1 and Tally export, the F&B module and the Android app are all included — there's no add-on tier. Installation, onboarding and staff training come with it, and a 14-day free trial runs the complete product with no card taken.

The full feature list and technical specification is published, as is the price. Slate is currently in trials with a small cohort of Indian properties — we'd rather you knew that than found out later.

Questions hoteliers ask us.

What is the best hotel management software in India?
It depends on size and distribution. Above ~100 rooms, or where OTA inventory sync drives occupancy, choose an established PMS with certified channel-manager connections. For 5–100 rooms, a lighter offline-first system usually fits better at a fraction of the cost. Verify offline operation, real C-Form support, per-room versus flat pricing, and data export.
How much does hotel software cost in India?
Three common shapes: per room per month (₹50–₹200), flat annual licence (₹10,000–₹25,000 per property), or enterprise quotes above ₹50,000. Convert everything to an annual per-property figure before comparing — a 50-room property at ₹100/room/month is ₹60,000 a year.
Is C-Form support really necessary?
Yes, if you ever host foreign guests — reporting to the FRRO is a legal requirement, not a convenience. Proper support auto-populates the form from check-in data, carries the guest photo, attaches passport and visa scans and exports the register as CSV. Ask to see it demonstrated; it's commonly missing or manual.
What GST applies to hotel rooms?
Room tariff is banded — generally 12% up to ₹7,500 per night, 18% above. A restaurant inside a hotel where any room is listed at ₹7,500 or above attracts 18% on food rather than the 5% a standalone restaurant pays. Since the bands depend on your tariff, software should let you configure them. Our GST guide covers the F&B side in detail.
I only need room-service billing, not a whole PMS.
Then don't buy a PMS. Folio is built precisely for that — it sits alongside whatever hotel software you already run, opens a tab per room, prints kitchen tickets and produces GST-compliant bills. ₹6,500 per property per year, live in production at a Mumbai hotel. Replacing a working PMS to fix an F&B gap is the expensive way round.
Can Slate and Folio run together?
Yes. Slate handles the front desk — bookings, folios, housekeeping, compliance — while Folio handles room-service billing. Same team, same support line, same pricing philosophy. Many properties start with one and add the other.
