Feature List

Every screen, every function.

Tabs & Orders

Room tabs	One open tab per room, opened at check-in with guest name, phone and check-in date. Running total always visible.
Payment modes per tab	Settle on checkout, daily, or per order — set per tab to match how that guest is paying.
Order sources	Order from a partner restaurant, your own kitchen, or split a single order across both.
Menu search	Type-ahead search grouped by restaurant, with a cart and quantity stepping.
Custom items	Add a one-off item that isn't on the menu, without polluting the menu.
Order status	Received → preparing → ready → delivered, tracked per item and rolled up per order.
Markup modes	None, a percentage markup, or a fixed amount added — applied per item.
Overdue flag	A tab unpaid past three days marks itself visually, so nothing ages quietly.
Tab states	Open, due, settled, written off — each visually distinct on the board.
Duplicate protection	A room can't accidentally end up with two open tabs.

Billing

Consolidated bill	One bill across a date range with optional discount and notes. Preview before printing.
Two copies	Customer copy shows items and totals; hotel copy shows cost against markup per source, so you see the margin.
Print options	Print both copies, customer only, hotel only, or share to WhatsApp.
Bill numbering	Sequential with your own prefix and counter. Audit-safe — numbering never resets mid-year.
Reprint	Any past bill, any time, no time limit, identical to the original.
Rectification	Fully edit a finalised bill — guest, period, items, discount, GST. Creates a new versioned bill linked to the original with a reason logged. The original is never destroyed.
Cost-only override	Adjust the cost side without touching the guest bill, then auto-reprint the hotel copy with the new margin.
Refunds	Recorded against the bill with a full trail, and automatically deducted from day-close revenue.
Bulk billing	Select several tabs and close them onto one combined bill — for group checkouts and corporate stays.
Rupee rounding	Optional, with the adjustment shown transparently as its own "Round Off" line.

Dues & Pay-Later

On-account bills	A corporate guest signs and leaves; the room frees up for the next guest while the bill stays tracked.
Revenue recognition	Dues are not counted as revenue until actually collected, so your reports show cash reality.
Aging buckets	0–7, 8–30, 31–60 and 60+ days, with total outstanding at a glance.
Search	By guest name, room number or bill number.
Part payment	Pay against a due in instalments, with balance tracked.
Bad-debt write-off	Write off an uncollectable bill; GST on it is reversed automatically so your filings stay accurate.
CSV export	Full dues list with totals and aging summary, for your accountant.

Menu, Restaurants & Inventory

Partner restaurants	Add the restaurants you source from, with address, phone and display order.
Menu items	Source, cost price, selling price, unit (half, full, plate, pieces), category, GST rate and availability.
Unit disambiguation	Two items with the same name are shown distinctly by unit, so staff never pick the wrong one.
CSV / TSV import	Import your menu from any spreadsheet, with column mapping and a preview. Unknown restaurant names are created for you.
Inventory items	Stock levels, minimum thresholds, cost per unit and category.
Stock transactions	Purchases, usage and adjustments, with vendor recorded.
Recipe linking	Link a menu item to an inventory item so stock deducts automatically when it sells.
Low-stock alerts	Surfaced at day close and shift handover, where someone will actually see them.

Reports

Owner's daily report	Generated and printed automatically every day without anyone asking, and frozen so the numbers can't drift later. Reprint or recompute any past day.
Revenue summary	Collected revenue on a cash basis, food cost, gross profit, expenses, inventory, bad debt, refunds, dues added and net profit.
Comprehensive report	Financials, outstanding dues with aging, room-wise performance, top items, expenses, write-offs and refunds — exportable as one CSV covering all eight sections.
Room-wise	Revenue by room, with manually-overridden rows flagged.
Item-wise	Top sellers and thinnest margins.
Expenses	Ingredient, kitchen supply, food purchase and miscellaneous, with vendor and date-range filtering.
Day close	Once per calendar day, PIN-gated, printed, and locks the date. Guards against running an earlier date than the last close.
Shift handover	Pulls today's payments by method, you enter counted cash and UPI, and it prints a signed report showing any difference.

Security & Data

Database encryption	AES-256 with the key derived from the machine itself — copy the file to another PC and it's unreadable.
Manager PIN	4–8 digits, heavily hashed, protecting day close, refunds, write-offs, rectification and factory reset.
Hourly backups	48 retained — two full days of history — stored outside the install folder so updates never touch them.
Automatic recovery	If the database is damaged, Folio finds the newest good backup and restores it on startup, keeping the damaged file aside.
Licensing	Hardware-bound licence key, verified offline. Online revocation and extension checked periodically.
Guarded factory reset	Takes a mandatory backup first, needs your PIN and a typed confirmation, and keeps your setup data.
Crash reporting	Automatic and anonymised, so we can fix a problem before you report it. Can be switched off.
Diagnostics	A built-in health check with a one-click error report to support.

Day-to-Day

Keyboard shortcuts	Jump between screens, open search and bring up help without touching the mouse.
In-app guide	Searchable help covering every feature — a new staff member isn't blocked waiting on you.
Themes	Dark and light. The dark one matters at 2am.
Printer alignment	A printed ruler page for fine-tuning margins on stubborn printers.
Auto-updates	Download in the background, install on restart. Never interrupts a shift.

Off-site cloud backup

An encrypted copy kept off the property, in addition to the hourly local backups that already run. Built and tested; rolling out once storage capacity is in place.

58mm printer support

Folio prints to 80mm thermal printers today. Support for the smaller 58mm rolls many compact properties already own is in progress.

FSSAI on bills

Your FSSAI licence number printed alongside your GSTIN, with a setting to control it.

Composite-scheme billing

Bill of Supply format for properties registered under the GST composition scheme, with the required legal wording.

Technical Specification

What it needs, and what it runs on.

Version	3.10.0
Platform	Windows desktop. Runs as a standard per-user install — no admin password needed.
Hardware	Any Windows PC the property already owns. No server, no new hardware.
Printing	80mm thermal receipt printers, printed silently with no dialog. Works with any printer installed on Windows. Includes a raw fallback for cheap printers that ignore the standard cut command.
Internet	Not required. Every core operation works fully offline. Internet is used only for updates, crash reports and the WhatsApp share link.
Database	Embedded local database, AES-256 encrypted, bound to the machine.
Backups	Hourly, 48 retained, stored outside the install folder, with automatic corruption recovery on startup.
Multi-terminal	Single machine. Folio is designed as one install for the front desk.
Licensing	One licence per property, hardware-bound, verified offline.
Updates	Automatic — downloaded in the background, applied on restart.
